Our licensing is based on number of students within a particular building. (High School, Middle School, or Elementary School) Each school would require a seperate license if purchasing for a middle school and a high school.
We will contact you and get several particulars, including your administrative contact person. We setup the entire system and it will have logins for administrative staff to begin uploading staff and student master schedules.
Master schedules will come from your school’s particular software. Every school is different, but usually there is a common way to export all staff and students into our master schedule excel document spreadsheet. Once you get your data in the correct format, admins will be able to upload schedules into the GEARS software. Most districts will do this on a weekly basis to take into account new kids and moving schedules.
Yes, we actually will give you the software for FREE if you refer two new customers/schools to us! It’s that simple!
Absolutely, we can help you get your data imported, look over your spreadsheets, usually this first step is new and requires us to assist, then once staff learn the process they start using the software daily.
Sure, please contact us if you are interested in having one of us come to your district for training. We can quote you on having a person from GEARS fly to your location and provide full training for staff on the use of our system.
We offer a full demo so you can utilize the software and see it perform. We do not provide refunds as most of the cost is setup and initial utilization. If you do not want to utilize the service, you may not renew it on a yearly basis. We try to bill each school annually during the summer months.
Are there additional costs?
No, we have simple pricing based on student count of a site (high school, middle school, or elementary school). We host and support the software as well as update and maintain the system with no additional costs.

Do I need to setup GEARS?
No, we do all the setup and give you a url and login information along with instructions on next steps.
What about Refunds?
As we provide much of the service, we do not provide refunds on the current year. You may cancel any coming years if you wish at anytime.
Can I change Plans or cancel at any time?
We will work with you to upgrade or downgrade if your student body count changes and need to change plans. Typically we get you what you need to move through the current year and assess any new pricing the following year.
Does my IT department need to install?
The entire GEARS system is web based, but some IT departments will install a shortcut icon on the teachers desktop or menus for easy navigation. There is no extra software needed to install. Just point your browser, login, and start using GEARS.
